Volunteer Job Descriptions
Each Seals family must volunteer a certain number of volunteer shifts each season. There are many different jobs when running a swim meet, and you may try any of them.
*Your baby/toddler/preschooler may not be on the pool deck with you while you vounteer.*
**Plan to attend at least 3 swim meets in order to make your volunteer points.**
**15 Point Max per swim meet, per family**
**You will receive an email from the corresponding Head Parent for the Volunteer Role you have signed up for two days before the meet.**
Full Meet Jobs are worth 10 points, and Half Meet Jobs are worth 5 points. One exception is Clean Up, where you earn 10 points for about 90 minutes of hard, sweaty, physical work.
**Don’t forget we are all volunteers, and we all want to see our kids swim! You should always be able to see your kid(s) swim, no matter what your volunteer role is!**
Please do not sign up for more shifts than your family needs to make the volunteer requirement.
- Why not? We have calculated the number of volunteer shifts needed for each of our Point Earning Families. When you sign up for more than your share, another family cannot sign up. Thank you!
Pre-Meet Position = Arrive at 5:30AM and work until the meet begins (Set Up conflicts with Age Group Parent, so you can't do both in one meet)
Full Meet Position = Arrive at 6:15AM and stay until the end of the meet (Age Group Parent, Ready Bench, Timer (if you do both shifts)
Half Meet Position = You’ll either work the first or second half of the meet. You can sign up for both Early & Late Shifts for the same or different jobs and work the entire meet (Timer, Floater, Digital Event Board, Runner & Ribbons, Stroke & Turn)
Post-Meet Position = You will arrive before the meet ends and work for an hour after the conclusion of the meet (Clean Up, Awards). Note that you cannot do Clean Up if you're doing a Full Meet Position as Clean Up begins before the meet officially ends. (Age Group Parents, Late Timer, S&T, Runner & Ribbons cannot do Clean Up)

Set Up (Home & Away Meets)
Head of Set Up: Matt Howeth ([email protected])
Pre-Meet Job = 5 points
HOME MEETS:
Meet Head of Set Up (first to arrive around 5:30AM) at Circle C Pool shed by Swim Center. Help unload necessary items from shed, carry to deck and continue to set up. Some tasks include: Assemble Age Group Tents, Timer and Ready Bench Tents, carry ready benches, set up cones. Head of Set Up will give you instruction. This is a physical job, and you will arrive before your swimmer needs to be there. You will be finished before the meet starts.
AWAY MEETS:
Arrive early (5:45AM) at away meet location to help unload tents and set up age group tents. Needs to coordinate with the Head Set-Up parent, as well as the Head Age Group Parent, for directions on time to meet and where to put tents.
Load Truck & Deliver Tents (*Must own a Truck or large SUV!*)
Pre-Meet Job = 5 points
Load your truck the night prior to Away Meet, or early morning before meet. The Head of Set Up will coordinate with you. You will arrive early (5:45AM) at away meet location to help unload tents and set up age group tents.
Age Group Parent (aka Zoo Keeper) (Home & Away Meets)

**Please only sign up to be an Age Group Parent for a tent to which at least one of your kids is assigned!**
Full Meet Position = 10 points
An Age Group Parent is one of the most important jobs at a swim meet because they are in charge of the swimmers, giving the other parents the availability to volunteer for other positions. They are responsible for keeping the swimmers in their age group tent (aka “zoo”), getting them lined up for each of their events, walking them over to the ready bench, and then collecting them after their swims. In addition, they keep the swimmers safe (no nuts allowed; escort them to the bathroom), and keep swimmers organized (bring printed copies of Heat Sheet, Check-in Report, and Meet Schedule). You will check in the swimmers from the parents before the meet starts, and then check them out at the conclusion of the meet. Plan to be there the entire meet! Bring a chair, you will be sitting under the tent when not bringing kids to the Ready Bench.
Awards (Home & Away Meets)
Head of Awards: Karen Zimmer
Partial Meet Position, but it starts late and ends late = 10 points
Assist the Head of Awards with labeling and organizing ribbons. This role will require volunteer to stay after the meet concludes, but you don’t need to start working until after Event . This job doesn’t start up until after the meet is well underway. You will be sitting in the shade.
Floater (Home & Away Meets)
Reports to Volunteer Coordinators
Early/Late Shift = 5 points
*Please bring 2 copies of the Heat Sheet.* This is a "Jack of all Trades" role that will fill in at positions as needed during the meet. This will likely be an active role, so be prepared to be in the sun and standing. Bring a chair just in case.
Parking Lot Gatekeeper (Home Meets Only)
Reports to Volunteer Coordinators
Early/Late Shift = 5 points
You will arrive at 5:45AM. You will help direct people and help flow of traffic in the circle drop-off. Allow only certain people access to park in the Swim Center lot (Swim Families, Head Coaches, Meet Directors, Head Parents, Volunteer Coordinators, Volunteers of the Week, Disabled). Keep an eye on people entering through the CDC, and ask them not to park in the lot unless you've approved it. Allow residents to park in Post Office spots to retrieve mail. Bring a chair if you'd like to sit during downtime.
Digital Event Board (Home Meet Only)
Reports to Volunteer Coordinators
Early/Late Shift = 5 points
Located near starter, this volunteer operates one of the two digital ‘Event/Heat' Board and increments the numbers using a remote control. You must pay attention to the events and keep the board up to date. You may be in the sun; bring a chair & sunscreen.
Hospitality / Capacity Monitor (Home Meet Only)
Head of Hospitality & Events: Sarah Tomlinson
Early/Late Shift = 5 points
Assist hospitality Head Parent with handing out water to parent volunteers and any other needs during the meet. Will also use a hand counter to track the number of people in the pool area. You will be walking and carrying water. Bring a chair if you would like to sit and take breaks periodically. This is a physical job.
Ready Bench (Home & Away Meets)

Full Meet Position = 10 points
Tasks Include: Call swimmers to the ready bench area, make sure swimmers are sorted by heat and by lane, seat swimmers based on heats and lane position, guide kids from ready bench to the pool lanes, confirm swimmers are in correct lane and order. You will likely be in the sun, and you will be standing or moving the entire time. This is a physical job.
Runners/Heat Ribbons (Home & Away Meets)

Runners bring slips of paper from Stroke & Turn Judges to the Computer Operators and also from Timers to Computer Operators. Heat Ribbon Volunteers hand out the heat winner ribbons after each race. You will on the pool deck, standing and walking in the sun. There is no sitting with this job.
Stroke & Turn Judge (Must be certified!) (Home & Away Meets)

Watch swimmer's strokes and turns for compliance to CCSL Regulations. Requires certification that is good for two years. Earn 5 volunteer points for Stroke & Turn Training!

Timer (Home & Away meets)

Early/Late Shift = 5 points
Timers operate a Dolphin Timer device to time each swimmers event. Timers must be able to stand up repeatedly to observe the each swimmer finish the race. There are three timers per lane and in addition to the Dolphin system, one timer will also operate a manual stopwatch, another will write that manual time, and the third will use the supplied kickboard to protect little heads from hitting the wall on 25 yard backstroke event. This is a physical job. You will be mostly shaded from the sun, and will be standing the entire time. You will get splashed.
Back up Timers will assist the Head Timer by operating manual stopwatches for each race. They also fill in for a timer if that volunteer needs a brief bathroom break.
Clean Up Crew (Home & Away Meets)

Post-Meet Position = 10 points
HOME MEETS
Meet with Head of Clean Up 15 min before conclusion of meet for instructions. Some tasks include: taking down tents, picking up cones, signs, moving ready benches, picking up garbage and helping to load the shed. PLEASE NOTE: To earn your points, you must stay until all of the clean up is complete. Plan on working for up to an hour after the meet concludes. This is a physical job.
AWAY MEETS
Meet with Head of Clean Up 15 min before conclusion of meet for instructions. Some tasks include: taking down tents and loading them in trucks, driving back to CC Shed to unload. PLEASE NOTE: To earn your points, you must stay until all of the clean up is complete. Plan on working for up to an hour after the meet concludes. This is a physical job.
Clean Up: Load your truck & Return tents to Swim Center Shed (*Truck/SUV required*)
Post-Meet Position = 10 points
Meet with Head of Clean Up 15 min before conclusion of meet for instructions. Some tasks include: taking down tents and loading them in trucks, driving back to CC Shed to unload. PLEASE NOTE: To earn your points, you must stay until all of the clean up is complete. Plan on working for up to an hour after the meet concludes. This is a physical job.

Team Picture Assistants
Help wrangle the entire team into formation for the team picture.
End of Season Party
Sport Court/green space in Swim Center Playground. Set up tents and tables, organize awards. Distribute Kona Ice tickets to each swimmer. Work with Hospitality bring snacks, drinks, ice. Take down tents, tables, clean up area at conclusion.
