Circle C Ranch Host Meet Information
We are very excited to be hosting the swim meet this weekend and hope that everyone has a wonderful experience.
Please note that our pool is a 25 yard pool. Reminder, each team is responsible for bringing their own heat sheets for your volunteers. Circle C Ranch will provide stop watches, DQ slips, clipboards, and pencils.
Event Entries: The deadline for entries is 2pm on Thursday before the meet. Please submit the roster and entries to our computer experts Matt Regan and Jesse Riggins, by emailing firstname.lastname@example.org. Please submit relay names along with the entries, we’ll attempt to run A-C relays, but may need to adjust for time reasons. We should have it sent back to your team by Thursday evening for review. If there are any changes on Friday morning we ask that you resend a complete meet entries file with the changes, so we can release the final heat sheets before 5pm. Matt and Jesse can answer any questions you may have and are your contacts for computer-related issues.
Volunteer Information: We request the names and phones numbers of visiting team volunteers to our Volunteer Coordinator, Kim Horek email@example.com, by 2pm on Thursday.
Meet Time: Please reference meet specific email regarding start, warm-up and conclusion times. Depending on the size of the event these may change, as our HOA has mandated an end time of 1:00 pm. We attempt to start meets at either 7:30 am or 8:00 am. There will not be any deck entries or last minute changes to heat sheets, only if there has been a computer entry error that needs to be corrected. Time permitting we will have a parents and/or coaches relay; please bring suits if interested.
Head Volunteer Meetings: On deck meetings - 30 mins before scheduled Meet Start Time.
Timers: Meet under the timer tents
Stroke and Turn Judges: Meet under blue umbrellas near concessions on deck area
Ready Bench: Meet at the Ready Bench on the southeast side of the pool
Runners: Meet by computer awning (located on the parking lot gate or south side of the pool)
Volunteers: Please submit a list of your team volunteers to our volunteer coordinators. We ask for names and contact numbers for all volunteers.
Ribbons: Our ribbons coordinator will print ribbons for place winners. Please bring labels for personal best ribbons if you would like those printed.
Visiting Age Group Areas (aka Zoos): We have a designated area for your teams in the back behind the iron fence by the basketball & sand volleyball court. Please bring your own pop ups and chairs. It is very hot, and there is little shade. Please tell your age group parents to keep the swimmers off of the volleyball court. The sand gets tracked into the pool and has caused issues in the past.
Ready Bench Entry: All swimmers are asked to access the Ready Bench areas from the lane marked with the orange arrow on the map above. Swimmers are not to walk past the computer area or timers to get to ready bench.
Parking: Parking is limited. The parking lot entrance closest to the pool will be blocked off. You CAN enter the parking lot from the other side of the Child Development Center. The lot fills quickly. Please be good to our neighbors and do not block driveways. Also, remember to not park in crosswalks, intersections, near fire hydrants, or on grassy areas around the pool parking lot as APD has ticketed and towed in the past. At no time are swim center guests allowed to park in the designated Mail Center parking spots.
Concessions: We will have a full concession stand run by the Circle C Cafe throughout the meet. Breakfast tacos, coffee, water, Gatorade, sodas, snacks, and lunch food will be available.

The physical location is 5919 La Crosse Avenue, Austin, Texas 78739. Official directions can be found on our website, here: https://ccrseals.swimtopia.com/location The gate along Escarpment will be open, as well as the back gate by the parking lot behind the pool. The entrance through the pool office will NOT be open. You may park on surrounding neighborhood streets, but be mindful of not blocking driveways, fire hydrants, or crosswalks.
Meet App Resources: Circle C posts unofficial results to the Meet Mobile App during the meet, and uses MeetBop. We strongly encourage you to download MeetBop as it tells you the event and heat that’s in the water in real time. If you can’t see the pool, or an event/heat board, just check your phone!
